Communication is key. When it comes to working online as a virtual assistant, everything rises and falls on proper communication. I have lost clients because of poor communication -- by failing to respond in time, or whatever I meant being misinterpreted.
Using WhatsApp for communication as a virtual assistant (VA)
offers me several advantages, making my work more efficient and streamlined. It
is not perfect, but right now it is the best communication tool I have.
Here are some ways in which communication via WhatsApp has benefited
my work as a VA:

Instant Messaging
WhatsApp provides real-time communication, allowing me to
send and receive messages instantly. This can be particularly useful for quick
updates, clarifications, or addressing urgent matters with clients or team
members.

WhatsApp is widely used, and many people are familiar with
its interface. It’s accessible on my smartphones and computers, making it easy
for me to communicate regardless of the device I’m using. This accessibility
enhances my responsiveness as a VA.
WhatsApp provides notifications for incoming messages,
helping me stay informed about new messages from clients or team members. This
feature ensures that I can respond promptly to any inquiries or requests.
I respond to potential clients in real-time if they contact
me via WhatsApp. This way, I hardly miss an opportunity to add a new client to
my pool.

Multimedia Sharing
I can easily share various types of media, such as images,
documents, and voice messages, through WhatsApp. This is valuable for sending
quick files, updates, or progress reports to clients or potential clients.

Group Chats
WhatsApp allows for creating group chats, enabling effective
communication among my fellow VAs or different project stakeholders. Group
chats can streamline discussions, facilitate collaboration, and ensure that
everyone is on the same page.

Document Sharing
I can share documents directly through WhatsApp, making it
convenient for sending drafts, reports, or any other files related to my VA
tasks. This feature can contribute to a more efficient workflow.

Instead of typing out long messages, I can use the voice
messaging feature to convey information or instructions. This can be a
time-saving and convenient communication method, especially when explaining
complex details. Again, some clients just prefer voice messages over texts.

WhatsApp allows me to set status updates, which I sometimes
use to remind my clients about the services I provide. It’s better than
messaging them directly to ask them for jobs. As long as they have my number
and they check status updates, they will see my subtle prompts reminding them
that I have a family to feed.

Client Communication
Some of my clients actually prefer using WhatsApp for
communication due to its simplicity and ease of use. They want nothing but
WhatsApp, no emailing, no Facebook, name them. By accommodating my clients’
preferred communication platform, I enhance client satisfaction and improve the
overall client-VA relationship.
