Managing a contact list is a crucial aspect of both my business and personal life. It involves organizing and maintaining a database of people’s contact information, such as their names, phone numbers, email addresses, and other relevant details. In my contact list, I name or group people based on how I got to know them, where we met, what we have in common, etc.
I don’t just save contacts I will not need. Since I have
hundreds of contacts, I need minute details about each so that I can figure out why I still need not delete it whenever I come across the contact.
So, what would “FL Josephine CL PR” mean on my contact list, for instance? It would simply mean that the person is called Josephine, and we have a freelance (FL) relationship; furthermore, I met her on Craiglist, and she was looking for or providing Product Review services. All that is captured on the name.
So whenever I need something about a product review, I just type PR on my contacts list search, and the names of people who have ever needed or provided me with such a service will appear. It saves me time. I have a list of PDF editors, transcribers, writers, video editors, web developers, social media marketers, etc.
But there is more information about Josephine if I scroll
down her details, such as her email, company name, website, the date-month-year
I got to know her, etc. At the end, I also add a note about how she has treated me in
the past: her reliability and how easy she is to work with. Did she pay me as
agreed for that first work I did for her three years ago? With such information
synced with my Gmail account, I will always know who Josephine is even if I change my Smartphone.
That’s how I list contacts to make my virtual assistance activities easy. It helps me figure out how to deal with all my major clients and what to expect from each whenever there’s a task. I can also include the payment rate in the notes to avoid confusing what she pays per hour.
Different clients pay differently depending on how they negotiate. In short, I
capture every essential information about the contact I add to my contact list.
It’s not just a matter of saving contacts.
The same applies to my friends and relatives. I have something to say about them in the notes section of each’s contact information. I include their current residences, jobs, character, how they have treated me in the past, etc.
Suffice it to say I can help you manage your contact
list, too.
